Ensembles help you organize the people you make music with. Whether you're managing a choir, orchestra, band, or another performing group, Sage Score lets you maintain member rosters, organize participation, and share information through a dedicated member hub.
You can create as many ensembles as you need, each with its own roster and optional member hub.
Step 1: Create an Ensemble
Navigate to the Ensembles page and select + Add Ensemble.
Enter a name for your ensemble, such as Chancel Choir, Concert Band, or String Ensemble. You can also add a description to provide additional context about the group.
Save your ensemble to make it available throughout Sage.
Once created, your ensemble can be associated with programs, rehearsals, and other events in the Schedule area.
Tip: If your organization manages multiple performing groups, create a separate ensemble for each. This allows you to maintain distinct rosters and share relevant information with the appropriate members.
Step 2: Add Ensemble Members
Once you've created an ensemble, you can begin building its roster.
From the Ensembles page, expand the ensemble you want to manage. Use the Add member dropdown to select an existing person or create a new member.
You can record information about each member, including:
Name: The member's name as it will appear on your roster.
Email and phone number: Optional contact information for record keeping.
Participation type: Whether the member is a volunteer or paid musician.
Active status: Whether the member currently participates in the ensemble.
Do Ensemble Members Need Sage Accounts?
No! Ensemble members do not need individual Sage Score accounts to be added to your roster or access an enabled member hub.
Adding someone to an ensemble does not automatically create a Sage login or send an invitation.
Email addresses and phone numbers are optional and are maintained for your organization's records. Members can participate in an ensemble without providing either.
Managing Paid and Volunteer Musicians
You can designate ensemble members as Paid or Volunteer to help distinguish their participation type.
This information is particularly useful when combined with attendance tracking in the Schedule area.
For organizations that compensate musicians, maintaining accurate participation and attendance records can help support payroll preparation and reporting.
Managing Inactive Members
If someone is taking a break from an ensemble or is no longer actively participating, you can mark them as Inactive rather than removing them.
Inactive members remain on your ensemble roster for historical reference, but are excluded from the list of expected attendees for upcoming events.
This is especially helpful for seasonal musicians, members on extended leave, or anyone who may return to the group later.
You can also deactivate an entire ensemble when it is no longer active.
Step 3: Enable the Member Hub
Each ensemble can have its own Member Hub, a shared space where musicians can access relevant ensemble information without needing individual Sage Score accounts.
Member hubs are optional. You can manage an ensemble entirely within Sage without enabling one.
To activate a member hub:
On the Ensembles page, select the edit icon beside the ensemble's name.
Find the Enable member hub toggle.
Turn the toggle on.
Enter a Shared password for the ensemble.
Select Save Changes.
A shared password is required to activate the member hub.
Once enabled, Sage provides a dedicated link for that ensemble's hub.
How Do Members Access the Hub?
Unlike the main Sage Score application, member hubs do not require individual user accounts.
Instead, everyone in the ensemble uses the same member hub link and shared password.
To access the hub, members simply:
Open the member hub link provided by their director.
Enter the ensemble's shared password.
Access the information made available to their group.
Members do not need to enter an email address, create an account, or maintain their own username and password.
This approach makes member hubs especially accessible for large community ensembles, church choirs, and groups with varying levels of technical experience.
Tip: Share the hub link and password with your ensemble through your usual communication channels. Because everyone uses the same password, choose one that is easy for your members to use but not easily guessed. Only share it with people who should have access.
Step 4: Share and Manage Your Member Hub
Once your hub is enabled, you can manage it directly from the Ensembles page.
Each ensemble displays its member hub status alongside options to preview and share the hub.
Preview hub: Open the member hub to see the experience available to your musicians.
Copy hub link: Copy the ensemble's unique URL so you can distribute it to members.
Edit ensemble: Update the ensemble's details, member hub settings, or shared password.
You can also disable the member hub at any time by turning off Enable member hub in the ensemble settings.
Disabling the hub does not require you to delete the ensemble or its members.
What Can Members Do in the Member Hub?
The member hub is designed to help musicians stay informed and connected to their ensemble's activities.
Depending on the information your organization makes available, members can use the hub to:
View ensemble schedules: See upcoming rehearsals, performances, and other scheduled calls.
Review program information: Access relevant program details and repertoire associated with their ensemble.
Report absences: Let their director know when they will be unavailable for an upcoming event.
Stay informed: Reference the shared ensemble information without needing to contact the director for every detail.
The member hub provides a simplified, musician-facing experience rather than access to the full Sage Score administration tools.

Keeping Your Ensembles Organized
As your organization evolves, you can continue updating ensemble rosters, participation statuses, and member hub settings.
You can also use the search bar on the Ensembles page to quickly locate a group or enable Show inactive to view ensembles that have been deactivated.
By maintaining your ensembles in Sage, you create a shared foundation for scheduling, attendance tracking, program planning, and member communication.
And because member hubs don't require individual logins, it's easy to give musicians access to the information they need without adding another account for them to manage.
