Sage Score helps private music teachers and collaborative music schools organize students, manage teaching responsibilities, and maintain a record of each student's musical development.
Whether you're an independent teacher managing a single studio or part of a larger organization with multiple teachers, Sage gives you a central place to organize your teaching activities.
With studios, you can maintain student rosters, track musical disciplines, manage teacher access, and build a history of assignments and lesson notes that grows alongside your students.
Step 1: Create Your Studio
Navigate to Studios from the main navigation.
Select + Add studio to create a new studio, then enter its basic details:
Studio name: A recognizable name for the studio, such as Smith Piano Studio or Beginning Strings.
Teacher: The person responsible for the studio.
Studio discipline(s): The instruments or areas of study taught in the studio, such as Piano, Voice, Guitar, or Music Theory.
Select Save to create your studio.
Single Studio vs. Collaborative Studio Plans
The number of studios you can manage depends on your Sage Score subscription.
Standard Studio Plans
Standard Studio plans support one studio. Owners and Admins can view and manage all student records within the organization.
The Staff user role is not available on standard Studio plans.
Collaborative Studio Plans
Collaborative Studio plans allow organizations to create and manage multiple studios, assign teachers, and organize students across different disciplines.
These plans also support the Staff user role, allowing teachers to access the students and records relevant to their teaching responsibilities.
Owners and Admins retain access to all student records across the organization.
Organizing Studios by Discipline
If your organization has multiple disciplines or teachers, you can choose how to structure your studios.
For example, a teacher offering both piano and voice lessons could:
Create one studio with both Piano and Voice listed as disciplines.
Create separate studios for piano and voice to maintain distinct student rosters and teaching arrangements.
Both approaches are supported on Collaborative Studio plans.
Tip: If the same teacher manages several disciplines with largely overlapping students, a single studio may be easier to maintain. Separate studios can be helpful when disciplines have different rosters or teaching responsibilities.
Step 2: Add Students to Your Studio
Once your studio is created, expand it on the Studios page to view and manage its students.
You can add an existing participant or create a new student directly from the studio.
To create a student:
Open the Add student dropdown and select + New.
Enter the student's name.
Optionally, add an email address and select their discipline.
Choose whether to send an invitation to the Student Hub.
Select Add to include the student in your studio.
Only the student's name is required to create their record.
Email addresses and disciplines are optional unless you're inviting the student to access their Student Hub.
Giving Students Access to Their Student Hub
Students do not need their own Sage Score accounts for you to manage their lessons and assignments.
However, if you'd like a student to access their assignments, lesson information, and shared resources independently, you can invite them to create a login.
To do so:
Enter the student's email address.
Select Send invite when adding the student.
Complete the student creation process.
The invitation allows the student to establish their own login and access their Student Hub.
If you don't send an invitation, the student record remains available for internal use by their teachers and authorized administrators.
Important: Unlike ensemble Member Hubs, which use a shared password, Student Hubs require individual logins for students who want direct access.
Step 3: Access Student Records
When a participant is added to a studio for the first time, Sage automatically creates their Student Page.
You don't need to set up this page separately.
Each Student Page serves as a central record of the student's musical activities and progress, including:
Assignments: Musical works assigned to the student, including due dates and assignment status.
Lesson logs: Records of lessons, practice notes, and other relevant teaching information.
Student resources: Information and materials shared with the student through their Student Hub, when enabled.
Select a student from your studio roster to open their Student Page.
From there, you can begin maintaining their lesson history and managing their assignments.
We'll cover these tools in more detail in our guide to Managing Student Pages, Assignments & Lesson Logs.
Step 4: Manage Teacher Access & Collaboration
For organizations using the Collaborative Studio plan, teacher assignments help determine which student records each Staff user can access.
When a teacher is assigned to a studio, they can view and manage the students associated with that studio.
Owners and Admins can view all student records throughout the organization, regardless of which teacher or studio a student belongs to.
Students Shared Across Multiple Studios
Some students work with more than one teacher.
For example, a student might take piano lessons with one teacher and voice lessons with another.
Sage allows the same student to be associated with multiple studios without creating separate student identities.
When a student belongs to multiple studios, their teachers can view the student's records from those other studios, supporting continuity and collaboration across disciplines.
This means a piano teacher can better understand what a shared student is working on in voice lessons, and vice versa.
This cross-studio visibility applies only to students shared between studios. Staff teachers cannot browse unrelated students or access all records belonging to other studios.
Why Shared Student Records Matter
Collaboration between teachers can provide a more complete picture of a student's musical development.
For example:
A voice teacher may recognize that a student's piano assignments reinforce harmonic concepts covered in lessons.
Two teachers can coordinate around upcoming performances or demanding repertoire.
A teacher taking over a student's instruction can reference previous lesson activity rather than starting without context.
Sage keeps this information connected to the student, making collaboration easier without requiring teachers to maintain duplicate records.
Step 5: Edit or Archive a Studio
You can update studio information at any time.
From the Studios page, select the edit icon beside the studio name.
Here, you can update the studio's name, assigned teacher, and disciplines.
If a studio is no longer active, select Archive studio rather than deleting its organizational history.
Archived studios are hidden from the default active studio view but can be displayed using the Include archived toggle on the Studios page.
You can also search for studios, teachers, or students using the search bar.
Why Maintain Your Teaching Records in Sage?
Beyond keeping student rosters organized, Sage provides a centralized record of the teaching process.
Preserve Important Historical Context
Over time, lesson logs and assignments create a history of what a student has studied, which concepts have been introduced, and how their repertoire has developed.
This is useful when revisiting earlier material, preparing for evaluations, or planning future lessons.
Rather than relying on scattered notebooks, emails, and spreadsheets, you can return to the student's record for context.
Collaborate More Effectively
For collaborative schools, shared student records make it easier for teachers to understand the broader picture of a student's musical education.
Teachers can build on previous work, identify connections across disciplines, and coordinate their instruction while maintaining appropriate access boundaries.
Keep Resources Connected to Students
Assignments and lesson information can be organized directly within Sage, connecting teaching activities with your organization's music library.
If a student has been invited to their Student Hub, they can also access the assignments, notes, and resources shared with them.
This creates a consistent place for students to reference what they're working on between lessons.
Support Long-Term Musical Growth
Student records become more valuable over time.
Having access to past assignments and lesson notes can help teachers recognize progress, identify recurring challenges, and make more informed instructional decisions.
Whether you teach a handful of students or manage a school with multiple teachers, Sage helps keep the administrative side of teaching organized so you can focus on the music.
